Journal out of balance in Business Central: what it means and how to fix it

The message you see

Document No. G00012 is out of balance by 150.00. Please check that Posting Date, Document Type, Document No. and Amount are correct for each line.

What causes it

The lines of this document don’t net to zero. Usually:

  • A balancing line has a different Document No. or Posting Date, so it’s counted as a separate document.
  • An amount was typed with the wrong sign, or mistyped.
  • A line that should balance itself has no Bal. Account No.
  • Where the journal template doesn’t force each document to balance, you see a similar message for a whole date instead.

How to fix it in Business Central

  1. Note the document number and the amount in the message.
  2. Filter the journal on that Document No. and check every line has the same posting date and document type.
  3. Correct the wrong amount, date or number, or add the missing balancing line or Bal. Account No.
  4. Run Test Report to check the batch, then post.

The faster way

With Bee Solved, the AI Assistant for Business Central, you ask which documents don’t balance and get the totals at once.

Which documents in my GENERAL journal don’t balance?

Journal totals by document
G00012, 31 OctOut by 150.00
G00014, 31 OctOut by -150.00

It totals the journal lines by document number and posting date, read with your permissions, and lists the ones that don’t net to zero. A pair like the one above usually means one line has the wrong document number. It only reads the journal.

Bee Solved works in Claude, ChatGPT or Microsoft 365 Copilot. It signs in as the person asking, uses their Business Central permissions, and links every answer back to the records behind it.
